How to Set Up Your First Workspace in Proman
Getting a new tool set up is often the hardest part. Here’s how to go from signup to your first active board in under 20 minutes.
1. Create Your Workspace
When you sign up for Proman, you’ll be prompted to create a workspace. A workspace is your team’s isolated environment — it contains your projects, boards, members, and billing.
Give it a name that’s easy to recognize. If you’re an agency, use your company name. If you’re an internal team, use your team name or department.
Your workspace type affects default settings — choose from Agency, Product Team, Freelancer, or Internal Team. You can change this later.
2. Invite Your Team
Go to Settings → Members and invite your team by email. Each invite includes a role assignment:

| Owner | Full access, billing, workspace settings |
| Admin | Manage members, projects, boards |
| Member | Create and edit tasks, log time, use boards |
| Viewer | Read-only access to projects and boards |
Invited members get an email with a link to join. Until they accept, they show as “Pending” in your member list.
3. Create Your First Project
Projects are containers for related work. Go to Projects → New Project and fill in:
- Name — what this project is about
- Client (optional) — if this is client-facing work
- Billable — toggle on if time tracked here should be invoiced
Most teams start with one project per client engagement or product area.
4. Set Up Your Board
Each project gets a Kanban board. The default columns are To Do, In Progress, In Review, and Done. Rename them to match your actual workflow.
If you use sprints, enable the Backlog view — this gives you a separate area to stage work before moving it into the active sprint.
5. Add Your First Tasks
Start with the work that’s already in-progress or queued up. For each task:
- Write a clear title (what needs to happen, not who needs to do it)
- Assign it to a team member
- Set a priority level
- Add a due date if there’s one
Don’t try to capture everything at once. Add the next two weeks of work and let the backlog grow organically.
6. Configure Notifications
Proman sends notifications for task assignments, mentions, due date reminders, and time entry approvals. Each team member can configure their own preferences under Settings → Notifications.
For most teams, the defaults are sensible. The one to enable explicitly: email reminders for overdue tasks — this catches things that fall off the radar.
7. Connect Slack (Optional)
If your team uses Slack, connect it under Settings → Integrations. You’ll get workspace-level alerts for task changes and project activity piped directly into your chosen Slack channels.
This is optional but useful if your team lives in Slack and doesn’t check Proman daily.
8. Run a Sprint
Once your backlog has enough tasks, you’re ready for your first sprint. The sprint planning flow:
- Go to Backlog
- Select tasks your team can complete in the sprint window
- Move them to Current Sprint
- Set a sprint goal and duration
- Watch the board
That’s it. The board is live, tasks are assigned, and your team knows what to work on.
