Every project management tool advertises a free plan. Few are honest about what that means.
The word “free” does a lot of heavy lifting in SaaS pricing pages. What you actually get ranges from “a generous starter kit” to “a demo that expires before you finish onboarding.” Let’s look at what the major tools actually give you at $0 — and what they don’t.
The Free Tier Landscape in 2026
Asana Free
- Up to 10 users (but only list view — no timeline, no boards beyond basic)
- No custom fields, no forms, no reporting
- No goals, no portfolios, no workload management

The catch: Asana’s free tier is functional for personal task lists. The moment you try to manage a real team project — track progress, assign priorities, generate reports — you hit a wall. The upgrade to Premium is $10.99/user/month.
Monday.com Free
- Up to 2 seats (yes, two)
- 3 boards maximum
- No integrations, no automations, no timeline view
- 500 MB storage
The catch: Two seats and three boards is a trial, not a plan. A freelancer with one client has already outgrown it. Basic tier starts at $9/seat/month.
ClickUp Free
- Unlimited members (genuinely generous)
- 100 MB storage
- No guests, limited custom fields, limited integrations
- No goals, no portfolios, limited reporting
The catch: ClickUp’s free tier is the most generous on member count, but the storage limit is painful. One shared design file and you’re done. Unlimited plan is $7/member/month.
What’s Actually Missing From Every Free Plan
Notice the pattern. Every free tier strips out:
- Reporting and analytics — you can create tasks but can’t measure progress
- Automations — repetitive work stays manual
- Integrations — your tools remain siloed
- Meaningful storage — file sharing becomes impossible at 100–500 MB
And none of them include time tracking or invoicing. Those are separate tools, separate subscriptions.
What a Free Plan Should Include
A genuinely useful free tier should let you run a small project end-to-end:
- Create and organize tasks visually
- Communicate with your team in context
- Track time spent on work
- Send at least a few invoices
